Logbook² is a pilot logbook app for iPhone, with an Android version to follow. This policy explains what happens to your information when you use it, and what your rights are under the Protection of Personal Information Act 4 of 2013 (POPIA). We have tried to keep it short, because the honest answer is simple: your logbook stays on your phone and we never receive it.
Summary
- Everything you enter in Logbook² is stored only on your device, in a local database. That means your flights, aircraft, pilot name, licence number, licences, ratings, medical expiry dates and settings.
- There are no accounts and no sign-in. We run no servers for the app.
- There is no analytics, no crash reporting, no advertising and no tracking. The only third-party code in the app is the app store's billing library.
- We cannot see, recover or delete your data. Uninstalling the app deletes it.
- Backups and exports are files that you create and keep yourself. Nothing is uploaded to us.
- The only things that leave your phone are the ones you read about in section 3: subscription purchases (handled by Apple or Google), files you choose to share, and the ordinary network details the app stores receive when your phone talks to them.
1. What stays on your device
Logbook² keeps the following in a local database on your phone:
- your flights, including dates, times, aircraft, routes, remarks and totals;
- your aircraft;
- your pilot name and licence number;
- your licences, ratings and medical expiry dates;
- the app's settings.
This information does not leave your phone unless you export it (section 3). It is not sent to us, and we have no way to read it. Because we never receive it, we do not collect, store or process it as a responsible party under POPIA.
2. What we do not do
- We do not create accounts for you, and you do not sign in.
- We do not run servers that receive your logbook or anything else from the app.
- We do not use analytics, crash reporting or advertising, and we do not track you across apps or websites.
- We do not include third-party SDKs in the app, other than the app store billing library that handles subscriptions.
- We do not use your location, contacts, photos or microphone.
- We do not sell or share personal information, because we do not have any.
3. What can leave your device
Three things can leave your device, and in each case the destination is the one you choose or the store you already use.
- Subscription purchases. Logbook² Pro is bought through the App Store (Apple) or Google Play (Google). Apple or Google takes the payment under its own terms and privacy policy. The app receives from the store only whether a subscription is active and when it expires. We never see your card or other payment details, and we do not receive your name or email address from the store.
- Files you share or print. You can export your logbook as JSON, Excel or PDF, or print it. These go through the iOS share sheet, and the file goes wherever you send it: Files, iCloud Drive, email, a printer or another app. Once a file leaves Logbook², it is governed by the service you sent it to, not by us.
- Network details sent to the stores. When the app contacts the App Store or Google Play, for example to check a subscription, Apple or Google receives the standard network details any app sends, such as your IP address and basic device information. This is handled under Apple's or Google's privacy policy.
Apple and Google may process information outside South Africa. That processing is theirs, under their terms.
4. Importing
Importing reads a file that you pick yourself: a PDF exported from another logbook app, an Excel file, a CSV file or a Logbook² backup. The file is read on your phone and the flights from it are added to the local database. Nothing is uploaded.
Scanning a paper logbook. You can photograph a page of your paper logbook, or choose a photo you already have. The app asks for camera or photo access only when you choose this. Text recognition runs on your phone, using the recognition built into iOS (Apple Vision) or Android (Google ML Kit's on-device model); the photo is not sent to us or to anyone else. The photo is kept only in the app's temporary storage while you check the result, and the flights you confirm are saved to the local database like any other entry. Logbook² does not keep the photo afterwards, though a photo you took with the camera may also be in your phone's own photo library under your phone's rules.
5. Backups
Logbook² has no cloud copy of your logbook. A backup is a file that you create from the app and keep wherever you choose. We do not hold a copy, and we cannot restore your data if you lose both your phone and your backup. Please keep a backup somewhere safe.
6. Keeping and deleting your information
Because your information is only on your device, you control how long it is kept.
- Deleting an entry in the app removes it from the local database.
- Uninstalling the app deletes everything it stored on your device.
- Files you exported stay where you saved or sent them until you delete them there.
- If you use your phone's own system backup, that copy is governed by your device maker's settings and terms. Deleting the app from your phone does not necessarily remove a copy held in such a backup.
7. Security
Your logbook is protected by the security of your phone, such as its passcode or biometric lock and the operating system's protections. Because we hold nothing, there is nothing of yours on our systems to be breached. Please protect your phone, and the backup files you create, as you would any other record of your licence and flying history.
8. Your rights (POPIA)
Under POPIA you have the right to:
- ask whether we hold personal information about you, and for a copy of it;
- ask us to correct or delete it;
- object to our processing it, and withdraw any consent you gave;
- lodge a complaint with the Information Regulator (section 9).
Since we hold none of your logbook information, you exercise these rights directly on your device. You can see all of your data in the app, correct any entry by editing it, and delete any entry in the app. Uninstalling the app deletes everything. If you would like to confirm this, or you have a question about your rights, write to us at info@tsamayaapp.co.za and our Information Officer will reply.
9. Complaints
We would like the chance to put things right first, so please contact us at info@tsamayaapp.co.za. You also have the right to complain to the Information Regulator of South Africa at inforeg@justice.gov.za.
10. Children
Logbook² is not directed at anyone under 18, and we do not knowingly process children's personal information. We do not collect personal information from anyone through the app.
11. Your logbook is your own record
Logbook² is not approved, endorsed or certified by the South African Civil Aviation Authority (SACAA), and you remain responsible for your logbook and for keeping the records the regulations require. Our Terms of Use explain this in full. For privacy purposes the point is that your records are yours: we do not hold a copy, so we cannot supply one to you, a regulator or anyone else.
12. Changes to this policy
We may update this policy, for example if the app changes. The version and effective date are at the top of the page. If a change is significant, we will tell you through the app or the app store before it takes effect. The most recent version is always on this page.
